Job Description

Bryn Mawr Trust, a WSFS Company, provides locally managed and collaborative wealth management solutions, including a broad array of planning and advisory services, investment management, trust and estate planning, brokerage and investment services to individual, corporate, and institutional clients through multiple integrated businesses.

The Client Services Associate will be responsible for providing high level service delivery to trust and agency clients, Wealth Advisors, Investment Advisors, intermediaries and other qualified referral sources and distribution channels.  In addition, the incumbent will support a large team of client facing individuals (Wealth Advisors, Investment Advisors, Financial Planners, Managers) to provide exceptional client service and administrative support. This position entails internal and external (client) communications, including answering the main WMD phone line on a rotating basis, participation in select client meetings, and interface with Trust Operations Service Partners.

Job Responsibilities

  • Manage multiple time sensitive tasks simultaneously for both internal and external clients.  Those tasks include the preparation of account opening and closing forms/paperwork, asset gathering at initial account funding, transferring money both internally and externally, paper and electronic filing, paying bills in a timely and efficient manner on behalf of trust and agency clients and/or family offices, gifting. 
  • Perform other administrative tasks include coordinating with Investment Advisors, Wealth Advisors and Investment Associates on preparation and mailing of client correspondence, including Investment Policy Statements, Off-List Holdings Letters and concentrated stock position letters.
  •  Master the account opening process for all account types.
  •  Be able to prepare high volumes of account opening paperwork in an efficient manner.
  •  Understand how fees are charged and exhibit an ability to manually calculate fees.
  •  Know BMT’s approved, standard WMD fee schedules and follow all exception processing for fee discounts. 
  • Track account funding to completion, check all asset information for accuracy (cost basis, acquisition date, tax lots, etc.).
  • Provide bill pay and cash movement services to select Wealth Advisors and Investment Advisors within the Wealth Management Division, specifically Investment Advisors and Wealth Advisors in the Berwyn location of the WMD.  This service includes paying all client bills, moving cash from income to principal and vice versa and accommodating client requests for cash in a timely and accurate manner. 
  • Monitor and work to clear cash overdrafts for assigned Wealth Advisors and Investment Advisors.
  • Coordinate client meetings for Wealth Advisors and Investment Advisors and assist in meeting preparation.
  • Be willing and able to systemically tailor client presentation materials to the needs of the client and Wealth Advisor or Investment Advisor.
  • Serve as first point of contact for many high-net-worth clients, as well as build and maintain those relationships by providing exceptional client service support. 
  • Answer the main WMD phone line on a rotating and recurring basis. Provide backup to sort/scan and distribute mail, as needed.
  • Proactively anticipate the needs of Wealth Advisors and Investment Advisors and work in conjunction with Investment Associates to track/resolve account compliance issues on their behalf including, but not limited to, stale IPS, Off-List Holdings Letters, Account Reviews with exceptions, etc. Act as Secretary to one or more internal committees (account review committee, discretionary distribution committee, etc.) and prepare accurate committee minutes that track exceptions.
  •  Maintain accurate client data on SWP (core trust accounting system) and OnBase. 
  • Use each system effectively to support Wealth Advisors and Investment Advisory teams.
  • Administer complex and precise processes in support of client needs. 
  • Contribute with process improvement ideas and to Division initiatives (systems conversions, projects, etc.).
  •  General administrative duties, including the scanning of client materials.

Minimum Qualifications:

  • Must have a high school diploma, however a bachelor’s degree in business administration, finance or a business-related major is highly preferred.
  • Must have 3-5 years of experience in administrative client service.
  • General knowledge of investment markets and trust administration.
  • Must be proficient in Microsoft Word and Excel are a must as is basic numeracy. 
  • Experience with a trust accounting and/or investment system is preferred.  
  • Must be able to juggle priorities, be organized and have an adjustable social style. 
  • Must exhibit initiative, and the ability to complete assigned tasks efficiently and with little supervision.
  • Knowledge, understanding and application of fiduciary and investment principles; knowledge of securities processing and clearing; knowledge of trust & accounting systems; knowledge of trust administration and fiduciary responsibilities, knowledge of investment systems and technology to support recordkeeping and payment history (SEI Wealth Platform) is preferred.

Salary Range:

$44,146.00 - $72,525.25

Individual base pay may vary on additional factors such as the candidate’s experience, job-related skills, relevant education, geographic location, and other specific business and organizational needs.
