The Private Banking Portfolio Administrator assists assigned Relationship Managers (RM) with the administrative, operational, and service-related activities linked to private banking. The incumbent ensures that all customer service-related goals for the period measured are achieved. In addition, the incumbent provides high-quality service to customers and RMs that is timely and accurate. The Portfolio Administrator looks for opportunities to cross-sell Bank and wealth management products where appropriate and serves as the point of contact to handle all client needs.
Job Responsibilities:
- Handle client inquiries, online banking support (Lockouts, password resets), and account issues.
- Answer incoming calls, processes service requests (debit cards, checks, internal transfers, payments, stop payments, payoffs, and refunds).
- Coordinate account openings and closings for consumer and commercial private banking clients.
- Resolve client issues and escalate when necessary.
- Collect documentation for consumer loans, including tax returns, mortgage statements, payoffs, PFS, insurance policies, and financial statements.
- Enter and maintain accurate loan data and client profiles.
- Process disbursements, payoffs, and maintains credit files.
- Support collection of required documents.
- Monitor loan payment delinquencies and take action per RM guidance.
- Manage document exceptions.
- Prepare and submit forms and instructions to operations.
- Perform secretarial duties: typing memos/letters, mailing packages.
- Process special handling requests and exception wires.
- Submit check requests, cashier checks (as trained), and invoice payments.
- Monitor and reorder office supplies.
- Assist RM with client presentations, profiling, and sales support tasks.
- Cross-sell banking and wealth management products as appropriate.
- Other duties as assigned.
Minimum Qualifications:
- At least 2 years of experience in both consumer and commercial banking loans and deposit accounts, wealth management and/or customer service required.
- Must have moderate knowledge of different areas of banking that provide in-depth experience in bank products, services, and the marketplace.
- Must have excellent oral and written communications skills.
- Must have excellent listening skills.
- Must have superior customer service skills.
- Must have excellent problem-solving skills.
- Must have experience working in a fast-paced sales environment supporting a seasoned Relationship Manager with a proven track record of success.
